Job Summary (Brief overview on scope of job responsibility)
•Manage the operations of the invoicing team, consisting of 30 employees in Hong Kong and Shenzhen, and drive team performance to achieve management goals.
Interrelationships (Other key functional or communication lines)
•Communicate with operation teams, client relationship management teams, and finance teams in all global locations, mainly in Asia.
Job Responsibility & Accountability (Key roles, functions & accountabilities)
• Monitor and drive team performance to deliver KPI on invoicing timeliness and accuracy.
• Identify operational issues, develop improvement plan and implement the plan with other teams
• Set up, document and update Standard Operating Procedure (SOP) for all invoicing-related processes, and communicate the SOP with various teams to ensure compliance.
• Manage the prepayment process including imposing credit control associated with prepayment.
• Liaise and coordinate with clients and internal departments such as operations, client relationship management in all global locations to ensure accurate invoices can be issued on time and prepayment process operates smoothly.
• Ensure the optimum structure of the team in terms of locations and development progress of team members.
Required Skills & Qualifications (What skills are required for this position)
• Degree in any disciplines.
• 6 years’ solid experience in sales order / invoicing administration, or in program management area, with at least 3 years supervisory experience.
• Accounting knowledge is preferred but not mandatory.
• Proven track record on working with people of different levels, locations and cultures.
• Be a confident, self-starting and result-oriented leader with strong problem solving skills and good communication skills
• Proficient in Microsoft Office applications, such as Word, Excel and PowerPoint.
• Good command of both written and spoken English and Chinese
• Occasional travel to Hong Kong and Shanghai offices is required.
